Terms and Conditions of Ticket Purchase and Attendance

1. Introduction and Acceptance

1.1 These Terms and Conditions (“Terms”) govern the purchase of tickets and attendance at DOSE Fest (“Event”).
1.2 By purchasing a ticket, you (“Attendee”) enter into a legally binding agreement with The Happiness Equation CIC (“Promoter”) and agree to comply with these Terms.
1.3 These Terms should be read carefully before purchase.

2. Event Ethos and Environment

2.1 DOSE Fest is a community-focused event designed to promote wellbeing through connection, creativity, movement, and shared experiences.
2.2 All Attendees agree to contribute to an environment that is respectful, inclusive, safe, and community-led.
2.3 The Promoter reserves the right to take reasonable action to uphold this environment at all times.

3. Ticket Purchase and Validity

3.1 All tickets are sold subject to availability.
3.2 A contract is formed upon confirmation of purchase and receipt of full payment.
3.3 Tickets must be presented for entry (digital or printed).
3.4 Tickets may not be resold, transferred, or used for commercial purposes without prior written consent from the Promoter.
3.5 The Promoter reserves the right to cancel tickets obtained in breach of these Terms.

4. Pricing and Payment

4.1 All ticket prices are stated at the time of purchase.
4.2 Any booking or transaction fees are non-refundable.
4.3 The Promoter reserves the right to correct pricing errors.

5. No Refunds Policy

5.1 All ticket sales are final.
5.2 Tickets are non-refundable and non-exchangeable once purchased.
5.3 This applies in all circumstances, including but not limited to:

  • Personal circumstances

  • Illness

  • Travel disruption

  • Change of plans

5.4 As a not-for-profit organisation, the Promoter allocates all ticket revenue in advance to deliver the Event and its associated community benefit.
5.5 By purchasing a ticket, Attendees acknowledge and accept this policy.

6. Event Changes and Cancellation

6.1 The Promoter reserves the right to make changes to the Event, including but not limited to:

  • Programme or schedule

  • Activities or line-up

  • Layout or site use

  • Timings

6.2 The Event will proceed in most weather conditions.
6.3 In the event of cancellation, refunds (if any) will be at the Promoter’s discretion and limited to the face value of the ticket.
6.4 The Promoter shall not be liable for any indirect or consequential losses, including travel or accommodation costs.

7. Weather and Wellbeing Adjustments

7.1 Weather and environmental conditions are outside the Promoter’s control.
7.2 The Promoter may implement reasonable adjustments to ensure safety and wellbeing, including:

  • Schedule changes

  • Space reconfiguration

  • Safety guidance (e.g. hydration, rest, clothing)

7.3 Such adjustments are considered part of normal event operations and do not entitle Attendees to refunds.
7.4 Attendees accept responsibility for preparing appropriately for weather conditions.

8. Communications and Data Use

8.1 By purchasing a ticket, Attendees consent to receive essential event-related communications.
8.2 These may include:

  • Event updates

  • Safety notices

  • Weather guidance

  • Operational changes

8.3 Attendees are responsible for providing accurate contact details and monitoring communications.
8.4 Personal data will be processed in accordance with UK data protection laws and used only for event-related purposes unless further consent is provided.

9. Entry Conditions

9.1 Entry is permitted only with a valid ticket.
9.2 The Promoter reserves the right to:

  • Refuse entry

  • Remove Attendees

  • Conduct security checks and bag searches

9.3 This applies where there is:

  • Breach of these Terms

  • Safety concerns

  • Disruptive or unlawful behaviour

10. Food and Drink Policy

10.1 No external food or drink may be brought into the Event.
10.2 Food and drink will be available for purchase from authorised vendors on site.
10.3 Exceptions:

  • Refillable water bottles are permitted

  • Specialist dietary or medical food requirements are permitted where necessary

10.4 The Promoter reserves the right to:

  • Inspect bags

  • Confiscate unauthorised items

  • Refuse entry for non-compliance

 

11. Alcohol and Licensing

11.1 Alcohol may only be consumed if purchased from authorised vendors.
11.2 No external alcohol is permitted.
11.3 The Promoter operates in accordance with all licensing laws and reserves the right to refuse service.

12. Conduct and Behaviour

12.1 Attendees must behave in a respectful and lawful manner at all times.
12.2 The following will not be tolerated:

  • Harassment or discrimination

  • Abuse or threatening behaviour

  • Unsafe or disruptive conduct

12.3 The Promoter operates a zero-tolerance policy and may remove any Attendee without refund.

13. Health and Safety

13.1 Attendees attend at their own risk.
13.2 Attendees must follow all safety instructions, signage, and steward guidance.
13.3 The Promoter is not responsible for injury or loss except where caused by proven negligence.

14. Photography, Filming and Marketing Use

14.1 The Event will be photographed and filmed throughout for documentation, safety, and promotional purposes.
14.2 By attending the Event, Attendees acknowledge and consent to being photographed, filmed, or recorded and to the use of such content by the Promoter for:

  • Marketing and promotional materials

  • Social media and digital content

  • Future event promotion and reporting

14.3 This content may be used without further notice or compensation.
14.4 Where reasonably practicable, the Promoter will avoid the use of close-up identifiable imagery of individuals who explicitly request not to be featured. Any such requests should be made in advance or raised with event staff on the day.

15. Safeguarding and Children’s Photography

15.1 The Promoter is committed to providing a safe, inclusive, and respectful environment for all attendees, including children and young people.
15.2 Children under the age of 18 must be supervised at all times by a parent, guardian, or responsible adult. The Promoter does not accept responsibility for the supervision of minors.
15.3 The Event may be photographed and filmed in public spaces for documentation and promotional purposes.
15.4 The Promoter will take reasonable steps to ensure that:

  • Photography and filming are conducted in an appropriate and respectful manner

  • Children are not the primary focus of images without appropriate context

  • No images are used in a way that is exploitative, harmful, or inappropriate

15.5 By attending with a child, the parent or guardian acknowledges and consents to the possibility that the child may appear in general crowd photography or filming.
15.6 Where reasonably practicable, the Promoter will avoid using close-up, identifiable images of children without the express permission of a parent or guardian.
15.7 Parents or guardians who do not wish their child to be photographed should:

  • Inform event staff on arrival; and/or

  • Take reasonable steps to avoid areas where filming or photography is actively taking place

15.8 The Promoter reserves the right to remove or decline use of imagery where safeguarding concerns are identified.

16. Force Majeure

16.1 The Promoter shall not be liable for failure or delay in performance due to circumstances beyond reasonable control, including but not limited to:

  • Severe weather

  • Government restrictions

  • Public health incidents

  • Acts of God

17. Accessibility

17.1 The Promoter is committed to creating an inclusive environment.
17.2 Attendees requiring assistance are encouraged to make contact in advance where possible.

18. Governing Law

18.1 These Terms are governed by the laws of England and Wales.
18.2 Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

19. Acceptance

By purchasing a ticket, you confirm that you have read, understood, and agree to these Terms and Conditions.
